Frequently Asked Questions
Our CFO consultant runs our forecasting off a spreadsheet, and I don't know if that's costing us more than it's saving, how do we actually know?
That's the right question to ask, and most owners never get a straight answer to it because nobody's actually tracking the offset.
One business owner I worked with was paying close to $45,000 a year for CFO and bookkeeping support and specifically wanted to know how that cost gets justified, through tax savings or through growth. A spreadsheet can hold numbers, but it can't tell you whether the insight coming out of it is actually paying for itself.
Real financial reporting should be able to answer that question directly, not leave you guessing whether the investment is working.
Our executive director's board reports come out late and full of errors, is that something we just have to live with as a nonprofit?
No, and it shouldn't be treated as normal just because it's been that way for a while.
I saw this firsthand with a nonprofit where board reports were consistently late, arrived with real errors, and left the person in charge carrying the entire burden of pulling everything together alone. When reporting is unreliable, your board is making decisions on numbers they can't fully trust, and that's a bigger risk than a scheduling inconvenience.
Accurate, on-time reporting isn't a nice-to-have for a nonprofit board, it's the foundation everything else gets decided on.
We only meet with our board a few times a year, can our reports actually break down where the money is really coming from?
They should, and if they can't, the report isn't doing its job.
One nonprofit I helped met with its board just three times a year and specifically wanted their reporting to separate ticket revenue from donation revenue, not just show one lump number. When you only get a few chances a year to show your board the real picture, those reports need to carry more weight, not less.
A report that can't answer "where did this actually come from" isn't giving your board what they need to make good decisions.
I have a bookkeeper, but she just hands me numbers without explaining what any of it means, is that normal?
It's common, but it shouldn't be the standard you settle for.
A business owner once told me directly that what she needed wasn't just a bookkeeper, she needed someone to hand her the information and actually walk her through what it meant. Bookkeeping and reporting are two different skills, one records the numbers, the other makes them make sense to you.
If you're getting reports you can't actually use to make a decision, you're not getting reporting, you're getting data.
We're growing fast right now, do we actually need forecasting yet or is that something for later?
The businesses that wait until they "need" forecasting are usually the ones that end up making an expensive decision blind.
I ran into this with a fast-growing business owner who knew forecasting would matter eventually and was weighing whether to set it up now or wait until growth made it unavoidable. Forecasting isn't just useful once you've hit a wall, it's what tells you the wall is coming before you hit it.
The earlier it's in place, the more decisions it can actually help you make instead of just explain afterward.
Our bookkeeper isn't closing out our books on time, so we're not getting monthly reports, does that actually matter?
It matters more than it feels like month to month, because it compounds.
One owner I worked with had a CFO relationship that had gone stale and a bookkeeper who wasn't closing the books on time, which meant the monthly reports he was supposed to be getting simply weren't showing up. A report that arrives late isn't really a report anymore, it's a history lesson.
If your books aren't closing on schedule, nothing downstream of that, forecasting, budgeting, board reporting, can be on schedule either.
I want to grow, but I honestly don't know if I'm charging enough for what we do, can reporting actually tell me that?
Yes, and this is exactly the kind of question good reporting is built to answer.
I've helped a business owner who wanted to grow but didn't have a clear read on whether his pricing was actually competitive or sustainable for his industry. That's not a guess you should have to make, it's something your margins and benchmarking should be able to show you directly.
If your reporting can't tell you whether you're charging enough, it's not giving you the insight it should be.
How often should we actually be getting financial reports, is monthly enough or do we need something more frequent?
It depends on how tightly you need to track what's happening in the business, but "whatever we've always done" usually isn't the right answer.
One business owner specifically came to me wanting reporting twice a month, not once, because monthly wasn't giving him a tight enough view of what was happening in real time.
The right cadence is the one that matches how fast your business actually moves, not a default that happens to be convenient for whoever's producing the report.
We're trying to sell the business, but a buyer's accountant said our numbers aren't accurate enough to trust, what now?
That's more common during a sale process than most owners expect, and it's fixable, but it takes real work before a deal can move forward again.
I helped one business owner after a sale was put on hold because the financials weren't accurate, which meant going back through multiple years to reconstruct and correct the numbers before a buyer would trust them again. Financial reports that "mean something" aren't just for your own decision-making, they're what determines whether someone else will trust your business enough to buy it.
The cleaner your reporting is before you're trying to sell, the less that process costs you when it matters most.
