Your Business Financial Statements & Reports Explained

Easy to process business financial statements saves you a ton and always reveals more profits inside your business.

This is why so many business owners trust the Local Bookkeeper & Accountant with 15+ years of experience, to create, organize, and deliver accurate business financial reports on a weekly, monthly, or quarterly basis.

BUSINESS BALANCE SHEET

A correctly prepared business balance sheet shows you an overview of assets, liabilities, and stockholder’s equity (if applicable).

If you do not use a business balance sheet report to monitor your business, then you are gambling with the future of your business (and we all know how gambling turns out for most).

Get these financial statements wrong, and you put your business at risk of failure. Avoid failure by trusting the Top Rated Local® Master Outsourced Bookkeeper & Expert Virtual Accountant.

BUSINESS INCOME STATEMENT / PROFIT & LOSS STATEMENT

Your business income statement reflects your business revenues, expenses, and net income over a specific time period.

This report is also known as a Profit and Loss Statement (P&L).

If you do not manage your company’s business revenues, expenses, or net income properly, then your business performs poorly. I ensure you know exactly where your business stands, acting as your Business Accounting Department!

Use business income statements (profit and loss statements) to see how profitable (or not profitable) your business is over weeks, months, quarters, and years.

This effective overview of your revenues, expenses, and net income positions you to make better long-term, profitable business financial decisions without the stress or not knowing where your business financials stand.

BUSINESS CASH FLOW STATEMENT

Your business cash flow statement (CFS) shows how well your company generates cash to fund investments, fund operating expenses, and pay its debts.

It also complements your business balance sheet and income statement (profit and loss statement) so that you can make informed, intelligent business financial decisions.

Without it, you cannot operate your business effectively or successfully.

Accurate, spot-on cash flow statements help you understand where your business stands right now.  Make informed intelligent long-term financial decisions with me.  I’ll position your entire business for success.

What Clients Are Saying

“We ended up bringing her on for CFO services too”

Came to Furever because our books had gotten pretty far behind. Kendra got us caught up, and along the way she started pointing out things we honestly hadn’t been paying attention to. We ended up bringing her on for CFO services too, including budgeting, forecasting and bigger financial decisions. I never realized how much we were missing before. Highly recommend!

“I Trust the Numbers and Actually Know Where We’re Headed.”

We weren’t doing bad—we were growing—but it felt like we were guessing more than we should’ve been. Bringing Kendra in as our CFO changed that. Within 60 days, we had a real handle on cash, saw where margins were slipping, and fixed a pricing issue that more than paid for the service. Now I’m not second-guessing decisions—I trust the numbers and actually know where we’re headed.

“I Truly Appreciate the Professionalism, Flexibility, and Support.”

Kendra and her team have been an absolute pleasure to work with. As a small business owner, I have faced periods of challenge, and they have consistently been accommodating, understanding, and sensitive to the realities that come with running a business. Nicole, in particular, is wonderful, always professional, patient, and responsive. She takes the time to answer my questions thoroughly and provides clear explanations of QuickBooks entries, even when I submit my information in a year-end data dump. Her willingness to clarify details and ensure accuracy has been extremely reassuring. I truly appreciate the professionalism, flexibility, and support Kendra and her team provide. I would highly recommend their services to any small business owner seeking reliable and compassionate bookkeeping support.

Real Questions We Hear Every Week

What are the three main financial statements every business needs?

Every business needs a balance sheet, an income statement, also called a profit and loss statement or P&L, and a cash flow statement.

I’ve had a client’s business sale get put on hold mid-negotiation because the numbers didn’t hold up once a buyer looked closely. Together these three statements show what you own and owe, what you earned and spent, and how cash actually moves through your business.

Skip one and the gap doesn’t show up until someone with money on the line is staring right at it.

What’s the difference between a balance sheet and an income statement?

A balance sheet is a snapshot of your assets, liabilities, and equity at one point in time. An income statement covers a period of time and shows your revenue, expenses, and net income across weeks, months, or years.

I’ve had clients whose owner statements ran two to three months behind, which means they were making decisions on numbers that were already out of date by the time they saw them.

One statement tells you where you stand right now, the other tells you how you got there, and running a business on stale numbers is running it blind.

What is a profit and loss statement and why does my business need one?

A profit and loss statement, or P&L, shows your business revenue, expenses, and net income over a specific period.

I’ve worked with an owner doing over $800,000 a year in revenue who had no idea his actual net profit was around $40,000 until I put a real P&L in front of him. It tells you exactly how profitable your business actually is, not how profitable you assume it is.

Without it, you’re setting your prices and your rates off a guess, and guessing wrong on pricing is how a busy business stays broke.

What is a cash flow statement and how is it different from a profit and loss statement?

A cash flow statement shows how your business generates and spends actual cash to fund operations, investments, and debt payments.

I work with seasonal businesses that hit the same cash crunch every single year, and without a cash flow statement, they never see it coming until payroll is due and the money isn’t there.

Your P&L can show a profit while your cash flow statement shows you’re broke, because profit on paper and cash in the bank are not the same thing.

Can my business be profitable on paper but still run out of cash?

Yes, it happens constantly. Your income statement can show a healthy profit while your cash flow statement shows you don’t have enough cash to cover payroll or pay a vendor this week.

I’ve seen a business sale stall out for exactly this reason, the business looked profitable, but once someone looked at the cash flow underneath it, the picture changed. That’s why I never hand you one report and call it done.

I give you all three statements together so nothing gets hidden in the gap between them.

How often should a growing business review its financial statements?

At minimum, monthly. If you’re scaling fast, carrying debt, or managing tight margins, weekly makes more sense.

I’ve taken over from bookkeepers who only reconciled once a year, which means the owner ran the entire year on numbers nobody had checked, and every surprise landed all at once at tax time.

I deliver reports on whatever schedule fits your business and review them with you personally, because a surprise you find in January should have been caught in February of last year.

What’s the difference between a bookkeeper and an accountant when it comes to financial statements?

A bookkeeper records the transactions. An accountant interprets what those transactions mean for your business and catches errors before they become expensive.

I’ve had a prospect tell me his own CPA refused to use the numbers his bookkeeping service was producing, because the CPA didn’t trust them. That’s not a bookkeeping problem anymore, that’s a business flying without instruments.

I do both, with In-House CPA Support on every set of financial statements I prepare, so there’s no second person down the line who has to throw your numbers out.

What happens if my financial statements are wrong?

You make decisions with bad information, and bad information leads to bad decisions.

I’ve had a client’s business get audited by the labor board after her CPA assured her everything was fine, and it wasn’t. The result was reclassifying her entire workforce from 1099 to W-2 and a bill she wasn’t expecting.

Wrong financials don’t just produce a bad report, they lead to denied loans, surprise tax liabilities, and owners making six figure decisions off numbers that were never true to begin with.

Do I need financial statements to get a business loan?

Yes. Lenders require accurate balance sheets, income statements, and cash flow statements before they approve financing.

I’ve had an owner trying to buy a second business get stopped cold because he couldn’t hand the bank clean P&Ls and balance sheets from prior years, and the deal sat waiting on paperwork that should have already existed.

If your financials are late, incomplete, or wrong, the loan doesn’t wait around for you to catch up. It moves on without you.

What financial statements do investors expect to see?

Investors expect clean, accurate balance sheets, income statements, and cash flow statements, prepared consistently and on time.

I’ve prepared investor ready financials for owners bringing on co-founders and partners to fund growth, and the difference between that conversation going well and going nowhere usually comes down to whether the numbers hold up the second someone looks closely.

Nobody invests in numbers they don’t trust.

Is there a minimum revenue size to outsource financial statement preparation?

Yes. I work with established businesses earning $500K to $75M plus in annual revenue.

Most of the owners who call me are done being bounced to a new person every time they have an accounting question, done re-explaining their business from scratch, done getting handed a report full of numbers nobody bothers to walk them through.

By the time they reach out, they’re not looking for cheaper. They’re looking for someone who picks up the phone and gives them financials they can actually trust.
