Frequently Asked Questions

Our bookkeeper logs AR every single day, so why can I never get a straight answer on what's actually outstanding?

This is one of the more frustrating patterns because it looks like the work is being done.

One owner I worked with ran an established, multi-million dollar service business where AR was logged daily without fail, and he still couldn’t tell me what was actually outstanding without asking someone else and waiting on it. Daily activity isn’t the same as visibility.

If logging AR every day still can’t answer “what’s outstanding right now” in under a minute, real-time reporting is what closes that gap, not more logging.

We just won a bigger contract and now our credit line needs to increase, but our current bookkeeper can't get financial reports together in time, is that going to cost us the deal?

It can, and it’s one of the more urgent versions of this problem I see.

I saw this firsthand with a government contractor who won a significant new contract and needed her credit line increased, but her existing bookkeeper couldn’t produce current AP and AR reports fast enough to support the request, or realign them with the new projections. A bank or contracting officer won’t wait for your books to catch up to your growth.

Getting AR current before you need it is what lets you actually close on the opportunity instead of stalling on paperwork.

I've gotten so buried that I haven't billed some clients in close to three years, is that even fixable?

It is, and you’re not as unusual as it might feel right now.

One business owner I helped discovered, while dealing with an unrelated compliance issue, that some of her clients hadn’t been billed in close to three years. That’s revenue that was earned and simply never invoiced, it doesn’t disappear, it just sits there until someone goes looking for it.

The longer it sits, the harder it is to reconstruct, so the sooner it gets untangled, the less expensive the fix.

Our POS system stopped syncing with our books and now I have duplicate entries everywhere, how do I even find out what's real?

This is more common than most owners realize, especially with point-of-sale systems that integrate with QuickBooks but silently break.

I’ve seen this happen when a business owner’s POS quit syncing mid-year due to a program error, and by the time it was caught, she had duplicate entries piling up in undeposited funds and no reliable read on her actual receivables. The fix isn’t just reconnecting the sync, it’s going back through and cleaning up everything that duplicated while it was broken.

The longer that runs unnoticed, the bigger the cleanup gets.

My business took off almost overnight and I need bookkeeping and AR handled urgently, not eventually, is that realistic?

Yes, and this is exactly the situation where waiting costs the most.

A fast-growing business owner came to me with this exact problem, needing bookkeeping and AR handled urgently, because the business had taken off the previous year and outpaced what she could track herself. Growth that outruns your billing process doesn’t just slow your cash flow down, it actively leaves earned revenue sitting uncollected while you’re busy running the business.

The faster you’re growing, the sooner AR needs a real system under it, not after the backlog builds.

I run two businesses through the same invoicing app, and now a bank wants a P&L and balance sheet from past years that the app can't produce, what do I do?

An invoicing app tracks what you billed, it was never built to produce the financial statements a bank actually wants to see.

I ran into this with an owner operating two businesses under the same EIN through an invoicing app while trying to purchase another business, the bank asked for historical P&Ls and balance sheets, and the app alone couldn’t generate them.

Getting your invoicing and your bookkeeping connected before a bank asks is what keeps a deal from stalling at the worst possible moment.

Our owner statements are always two or three months behind, is that actually normal?

No, and it’s worth taking seriously before it becomes the norm you stop noticing.

I’ve helped business owners, including those using expensive, specialized invoicing software, whose statements consistently lagged two to three months behind actual activity. That kind of lag means every decision is based on outdated numbers, not what’s actually happening in the business right now.

Real-time reporting exists specifically to close that gap, not shrink it to “a little less bad.”

My office manager handles our billing data on top of everything else, but I still can't get a real cash flow picture, is that a system problem or a people problem?

It’s almost always a system problem wearing a people problem’s clothes.

One owner I worked with had an office manager pulling billing data on top of her other responsibilities, and even with her doing her best, he still had to reconstruct his own cash flow manually, sometimes multiple times a week, just to get a rough answer. One person juggling AR alongside other duties, with no dedicated system behind them, will eventually fall behind no matter how capable they are.

Real-time reporting means you’re not waiting on someone to rebuild the picture for you.

Does outsourced AR actually work with DCAA-compliant systems like Unanet, or just standard tools like QuickBooks and Xero?

Yes. I plug into whatever platform you’re already running, QuickBooks, Xero, or DCAA-compliant systems like Unanet, and manage AR inside it rather than asking you to switch tools just to get it under control.
